Notice on the use of artificial intelligence

Last updated:

SeguiGestorWeb includes an assistant that answers questions in natural language about information that is already on the platform. This document explains what it does, what it does not do and what happens to the data.

It is written to be read before using it, not afterwards.

1. Who answers

The answer comes from a language model — an artificial intelligence — not from a person at the school. This is stated in every conversation, not only the first time.

It can be wrong. For a grade, a due date or any fact a decision depends on, always confirm it on the corresponding screen. The assistant links the records it consulted precisely so that check is one click away.

2. What information it can consult

Only what the person asking can already access on their own.

The assistant queries the database using that person’s session, not a credential of its own with wider reach. The same rules that decide what they see on their screens decide what the query returns. If a guardian asks about a student who is not in their care, the query returns nothing and the assistant says so.

It cannot consult data from another institution either. Separation between schools is enforced in the database, and the assistant is no exception.

3. What it does NOT do

  • It does not create, modify or delete information: it is read-only.
  • It does not grade, publish activities or send messages on anyone’s behalf.
  • It does not make academic decisions or pass judgement on anyone’s performance.
  • It does not build commercial or advertising profiles, and no advertising is directed at minors.

4. What is sent to the model provider

To draft the answer, the written question and the data the query returned are sent to the model provider. No unrelated data, credentials or history from other conversations is sent.

The call to the provider is made from our servers; the model access key never reaches the browser.

The provider processes that information to generate the answer under its own terms of service, which we require to exclude using the data to train its models.

5. What is logged

Who asked, which tool was used — activities, calendar, messages — and when, so it can be audited and so the daily query limit can be applied.

The content of the answers is not stored.

6. What the institution can decide

  • Turn it off completely for the whole community.
  • Exclude specific roles: for example, keep it on for teachers and off for students.
  • Limit how many queries each person can make per day.

7. Before the first conversation

The first time someone opens the assistant they are shown a summary of this notice and must accept it. The acceptance is recorded with its date.

Accepting is not required to use the rest of the platform: whoever does not accept simply does not use the assistant.

8. Questions

If anything in this document is unclear, write to us at contacto@seguigestorweb.com before using the assistant.
