Academic platform for multiple schools

No one finds out too late what is happening at school

Assignments, submissions, grades and communication in one place, with every access approved by the school and real separation between schools.

  • Every access approved by the school
  • Data kept apart per school
  • No advertising trackers

The problem

What happens today at most schools

It is not for lack of will. It is that the information lives in notebooks, WhatsApp groups and notice boards, and none of the three leaves any record of who actually found out what.

  • Students do not know what they owe

What has to be handed in gets written down the day it is announced. Anyone who was absent, wrote it down wrong or simply forgot finds out when it is already too late.

  • Teachers cannot follow up one by one

With five courses and thirty students each, checking who is falling behind takes time that does not exist in the school day.

  • Guardians find out at the end of the term

The first sign is usually the report card. By then, the window to step in has already closed.

An assistant that answers about your own data

«What do I have to hand in this week?», «how am I doing in maths?», «what events are there next month?». The assistant answers in plain language and says where each piece of data came from, with a link to the record so you can check it.

And what it does not do, just as plainly

It only looks up what the person asking could already see on their own. It does not reach data belonging to other people or other schools, it does not write or change anything, and every query is logged so it can be audited. A guardian gets nothing from the assistant that they would not get by signing in.

Getting started

How it is set up

  1. The school asks for it

A principal or coordinator requests a demo from this site. We talk, we understand the case and we agree on whether it makes sense.

  2. Its workspace is created

The school gets its own space, with its crest, its grading scale and its calendar. Its data is never mixed with any other school’s.

  3. The community joins

Teachers, students and guardians create their account saying which school they belong to and what they are there. Whoever administers the school reviews each request and decides whether to accept it.

Creating an account grants access to no school: what it sends is a request, and until the school accepts it you see not one piece of the school’s data. Who gets in is still the school’s decision.

Trust

Security and data

The platform handles data about minors. What follows is not a list of good intentions: it is how the thing is built.

  • Schools kept apart in the database itself

Every query is filtered by the database engine, not by the application code. Even if a screen asked for another school’s information by mistake, the database would not return it.

  • Guardian consent for minors

A student under 18 needs their guardian’s authorisation, which can be withdrawn later. It is recorded with its date and the version of the document accepted.

  • Law 1581 of 2012 and Decree 1377 of 2013

Anyone can see what data is held about them, download it and request its deletion. The school publishes its data processing policy and each person accepts it with a date.

  • Platform administrators leave a trace of every visit

They can enter any school to handle an incident, and every visit is recorded with its date in that school’s audit trail, as is everything they do inside. That trail cannot be altered or deleted by anyone, platform administrators included.

  • No one can set someone else’s password

Not even the school’s administrator. Recovering access always goes through the account holder’s own email or a one-time code that they redeem themselves.

Where it comes from

The school where it began

SeguiGestorWeb is being developed as a SENA training project for Institución Educativa Monseñor Ricardo Trujillo Gutiérrez, in Cucutilla, Norte de Santander.

It is not an invented case study. The design comes out of conversations with teachers who keep their records in notebooks and with guardians who live an hour from town, for whom going to the school to ask how their child is doing costs half a day.

Common questions

Frequently asked questions

Can I create an account on my own?

Yes, but creating one does not put you inside any school. When you sign up you say which school you belong to and what you are there, and that reaches whoever administers it as a request to accept or reject. Until then your account exists and sees no school data at all. If you represent an interested school, request a demo.

Does my school’s data get mixed with other schools’?

No. The separation is applied by the database engine, not by the code behind the screens: every query carries the filter by school built into it. Even if a screen asked for another school’s information by mistake, the database would not return it. That is the difference between a rule that can be forgotten on one line of code and one that does not depend on remembering it.

Who can see a student’s grades?

The student, the guardians linked to them by the school, the teachers of their subjects and whoever administers the school. Nobody else, and no other school. The link between guardian and student is established by the school: it cannot be declared on your own.

What happens with data about minors?

The account of a student under 18 requires their guardian’s authorisation, which is recorded with its date and the version of the document accepted, and which can be withdrawn later. No advertising is directed at minors, no commercial profiles are built from their data and it is not passed to third parties for commercial purposes. All of this is governed by Law 1581 of 2012 and Decree 1377 of 2013.

Does the artificial intelligence assistant see everything?

No. It looks up information with the permissions of whoever is asking: if that person cannot see something, neither can the assistant. It is read-only, it changes nothing, it cites where each answer came from and it always warns that it is an AI and that it can be wrong. The school can switch it off entirely or exclude particular roles.

Can the school administrator get into my account?

No. They can accept your request, change your role or deactivate your membership, but they cannot read or set your password, nor use the platform in your name. Recovering access always goes through your email or a one-time code that you redeem yourself.

Is it any use where the connection is poor?

It is designed for exactly that: the screens are light, they look right on a low-end phone, and important notices also arrive by email, which can be read whenever there is signal. Attachments have a size limit precisely so that uploading homework over a slow connection is possible.

What does it cost and how is it contracted?

SeguiGestorWeb began as a SENA training project with one pilot school. If your school is interested, request a demo and we will talk about the terms for your case.

Next step

Shall we look at it with your school?

Tell us about your school and we will write to arrange a demo. Sending this form does not create any account.

  • Every access approved by the school
  • Data kept apart per school
  • No advertising trackers

Principal, coordinator, teacher, office staff…

A rough number is enough. It helps size the demo.

Sending this form does not create an account or a workspace: we only receive your request and write back. You can read the data processing policy.
